Most ERP comparisons begin at the wrong end

A polished demo makes almost any ERP look complete. The trouble begins later, when a warehouse needs a partial delivery, finance rejects a backdated posting, a production order consumes substitute material, or management asks why two reports disagree.

ERPNext and Odoo both cover the familiar core: accounting, buying, selling, inventory, manufacturing, projects and customer management. ERPNext describes itself as an open source, cloud ready business management system ERPNext documentation. Odoo describes a wider integrated suite spanning finance, sales, websites, supply chain, human resources, marketing, services and productivity Odoo apps.

The useful question is not which product has more features. It is which operating model creates fewer compromises for your business. That includes software, hosting, implementation, local requirements, custom code, upgrades and the team that will support the system three years from now.

That is why this article does not name a winner. It gives both platforms the same test.

First, remove the false drama

The two platforms share more ground than most comparisons admit

A distributor can manage customers, quotations, orders, purchases, warehouses, invoices and collections in either system. A manufacturer can manage bills of materials, work orders, material movement, quality and costing in either system. A services company can manage leads, projects, time and billing in either system.

Shared business data

Customers, suppliers, items, prices, accounts and employees become controlled records.

Connected transactions

Orders, receipts, deliveries, invoices and payments can follow one auditable chain.

Workflow control

Roles, approvals, statuses and activity histories replace approvals hidden in messages.

Operational reporting

Management sees the same underlying transactions used by finance and operations.

If your shortlist is based only on those capabilities, both products will pass. The decision becomes clearer when you examine how each platform is assembled.

ERPNext is one fully open source ERP product built on the Frappe Framework.

The ERP code is licensed under GPL version 3 ERPNext licence. Frappe publishes a single product edition, with hosting, support and implementation sold as services rather than as feature tiers Frappe pricing.

ERPNext sits inside a wider Frappe ecosystem. Teams can add Frappe HR, CRM, Helpdesk, Insights and custom applications on the same framework. The architectural question is how much you keep standard and how much engineering capability you are prepared to own.

Odoo is a broad suite with an open source Community core and a licensed Enterprise edition.

Odoo states that Community is the core on which Enterprise is built, while Enterprise adds a larger functional surface and commercial services Odoo editions.

There is another decision inside Odoo: One App Free, Standard or Custom. Standard is hosted on Odoo Online. Custom adds Studio, multi company, External API and the option to use Odoo Online, Odoo.sh or an on premise deployment Odoo pricing.

How far can a change go?
Custom fields, DocTypes, scripts and custom Frappe apps create a path from configuration to code. The same flexibility needs disciplined change control.
Configuration covers many changes. Studio provides visual customisation on the Custom plan. Bespoke modules run on Odoo.sh or on premise rather than Standard Odoo Online.

How will other systems connect?
Frappe generates REST endpoints for every DocType and supports custom whitelisted methods Frappe REST API.

Cost without the sales fog

Software price is visible. Total cost is where decisions go wrong.

A licence page answers one question: what the vendor charges for access. It does not tell you what it will cost to map processes, clean data, build local reports, train users, connect other systems, support month end, or maintain custom behaviour through upgrades.

Two proposals can use the same product and still differ dramatically because one includes these responsibilities and the other leaves them as assumptions. Compare scope line by line before you compare totals.

What customisation really means

The first custom field is easy. The hundredth change is an operating model.

Every ERP project begins with harmless sounding requests. Add one approval. Rename one field. Show one local document. By month nine, those decisions have become a system that someone must understand, test and upgrade.

ERPNext exposes a direct relationship between the data model and the integration layer. Frappe automatically creates REST operations for every DocType, then allows custom methods for business logic Frappe REST documentation. That is powerful when the project has good engineering ownership. It can also make undisciplined change very easy.

Odoo offers configuration, Studio and code based modules as different levels of change. The hosting choice matters because Odoo Online does not accept nonstandard apps, while Odoo.sh and on premise deployments support custom modules Odoo hosting documentation.

Use the same rule for both: configure when the process is common, customise when the process creates real business value, and document every change that must survive an upgrade.

Customisation is not evidence that a platform is flexible. A supported upgrade, a readable change log and a team that can explain the code two years later are the evidence.

A demo that produces evidence

Stop watching slides. Bring five difficult transactions.

A useful demo starts with your documents and exceptions. Give both teams the same script, the same sample data and the same time limit. Ask them to complete the work live.

Order to cash with an exception

Create an order, reserve stock from two warehouses, make a partial delivery, return one item, issue the invoice and trace the accounting entries.

Purchase with landed cost

Buy in foreign currency, receive partially, allocate freight and duty, inspect valuation, then show the effect of a purchase return.

Production under pressure

Release a work order, substitute material, record scrap, change planned quantity and explain the final manufacturing cost.

Approval and audit

Submit a discount or payment above authority, route the approval, reject it once, resubmit it and show exactly who changed what.

Month end truth

Reconcile stock and finance, close the period, prevent a late posting, then reproduce the management report from the underlying ledger.

Integration failure

Send one transaction to an external system, force a failure, retry safely and show how operations knows what is stuck.

What to record: number of manual steps, places where data is retyped, custom changes required, security exceptions, report reconciliation and the explanation given when something fails. A feature checklist cannot show any of that.

Ask to see the document, the posting and the report together

The National Board of Revenue requires businesses to obtain a VAT invoice during purchase and issue one during sale using Mushak 6.3 NBR VAT guide. A formatted invoice is only the visible edge. The real test is whether tax logic, general ledger posting, purchase records, sales records, returns and audit evidence agree.

For either platform, ask the implementation team to demonstrate your Mushak output from a real transaction. Then trace the same transaction into the VAT register and the accounting ledger. If the proposal includes bKash, Nagad, bank files, local payroll, Bangla documents or a special fiscal calendar, test those flows separately.

A partner may already have local components, but that does not make every component suitable for every business. Confirm the supported version, ownership, upgrade path, documentation and support responsibility for each local extension.

Frequently asked questions

Questions that deserve a precise answer

Is Odoo free for unlimited users?

Yes. Odoo lists One App Free for one app with unlimited users on Odoo Online. Odoo Community is also open source and can be self hosted. These are different routes, with different functional and operational boundaries Odoo pricing Odoo editions.

Is ERPNext free for unlimited users?

ERPNext does not charge a per user software licence. The code is available under GPL version 3. You still need to budget for hosting, implementation, migration, training, support and ongoing change. Frappe describes ERPNext cost as hosting plus implementation Frappe pricing.

Which platform is easier to customise?

There is no honest universal answer. A field change, a workflow, a local report and a custom application are four different kinds of work. ERPNext uses Frappe configuration, scripts and apps. Odoo uses configuration, Studio and modules. Compare the exact change, the deployment model, the skills available and the upgrade test.

Which one has the better user experience?

That depends on the job and the configuration. A salesperson, a warehouse operator, an accountant and a production planner do not experience the same screen. Test the high frequency tasks with actual users and count clicks, searches, context switches and errors.

Can we migrate from one to the other later?

Customers, suppliers, items, opening balances and selected transactions can be moved through structured migration. Custom workflows, integrations, permissions, reports and historical assumptions usually need to be redesigned. Platform change should be treated as a new implementation programme, not a file conversion.

Which platform is better for manufacturing?

Both support bills of materials, production planning, work orders, material movement and costing. The meaningful test is your production reality: subcontracting, substitute materials, byproducts, scrap, quality, maintenance, batch traceability and cost variance. Run those scenarios in both systems before drawing a conclusion.
