Transforming Enterprise Reporting with ERPNext & Power BI: The BestinBrands Story

BestinBrands was assembling every report by hand, every cycle. The hardest one took three to four days — landing nearly a week after the month it described. It now takes about a day, and it starts without anyone asking.

The situation
BestinBrandsMulti-brand distribution & marketing · Bangladesh

124 questions a month, and every answer had to be assembled manually.

BestinBrands distributes and markets international brands across several consumer categories in Bangladesh. A portfolio that wide asks a lot of questions: which brand is growing, which SKU is stalling, which channel is carrying the quarter, which location is behind. Each of those is a report, and each report had to be built from scratch. None of this meant BestinBrands was struggling — reports still shipped every month. It meant real people spending real days on work a system could carry instead.

The answer arrived days after the month it described

Preparation on the hardest report only started once the period had closed — and then took three to four days. By the time the number was ready, it was describing a month nobody could influence anymore.

The cost was never the effort. It was that the hardest questions were answered too late for anyone to act on them.

Why it kept happening

The data was never the problem. The distance between the data and the answer was.

Everything BestinBrands needed was already inside ERPNext and its other business systems. Getting it into a form a manager could act on is what consumed the days after close.

The same work, every cycle

Extract, clean, transform, repeat. Nothing built in one month made the next month easier.

The business ran on spreadsheets

Excel carried the core of reporting rather than supporting it — and spreadsheets do not scale with a portfolio.

Several people per answer

The harder reports needed coordination across the team, so one person’s delay became everyone’s delay.

Answers arrived late

The most complex reports took days. A number that arrives after you can act on it is history, not intelligence.

Volume multiplied every delay

At 124 reports a month, an inefficiency is never small. It is paid for again in thirty days.

It got slower as they grew

Every month of history added to the pile that had to be reprocessed. Success made the problem worse.

The same manual detour, for every single report

Export, clean, reconcile, rebuild — the chain ran end to end before anyone could read a number, and it ran separately for each of the 124 reports.

The manual reporting process at BestinBrands before automation: ERPNext, MariaDB and other business systems exported one file at a time into Excel workbooks, then manually cleaned and reconciled to produce 124 separate reports, with the hardest taking 3–4 days

What Invento built

Do the work once, in the pipeline — not every month, in a spreadsheet.

ERPNext stayed the system of record, and Invento built the reporting layer on top of it. The preparation that used to happen manually — and the copy-paste risk that came with it — now happens automatically and consistently, on a schedule, before anyone sits down to look. Automation handles the repetitive assembly; the final check before numbers go out is still a person’s call.

ERPNext to Power BI reporting architecture: ERPNext and MariaDB feed a two-node data gateway cluster, then ETL and transformation, scheduled incremental refresh with archived history, into one Power BI semantic model serving 20+ dashboards and 124 recurring reports
The reporting architecture, end to end

Layer 01Connect it once

A permanent, structured route from ERPNext into Power BI replaced the manual export that used to start every cycle. Reporting no longer begins by gathering the data.

Layer 02Teach it the business rules

Cleaning, standardising, business calculations, period comparisons — all the judgement that used to live in someone’s spreadsheet now lives in the pipeline.

Written once, reused every cycle. That single change is what turns a report you rebuild into a report that simply arrives.

Layer 03Let it run without anyone

Scheduled refreshes update the data on their own. Incremental loading processes only what changed, and archived history stays available for trend analysis without slowing every run.

The team now starts its day at analysis instead of preparation.

Layer 04Make it hard to break

An always-on server and a clustered gateway with a fallback node mean the reporting does not depend on one machine being switched on, or one component staying healthy.

The same journey, automated

The dashboards

One model underneath. Nine ways to look at the business.

Different teams need different cuts of the same numbers, so the environment was built as specialised reporting views on a shared model rather than one dashboard trying to serve everyone.

BrandContribution, sales, quantity and period growth by brand.
ProductSKU-level detail beneath the headline sales totals.
ChannelPerformance across sales and distribution channels.
Door / locationPerformance by individual door, store or reporting location.
InventoryStock positions alongside the views inventory analysis needs.
Month over monthMonthly movement without rebuilding the comparison in Excel.
Year over yearCurrent against prior periods, on the same definitions.
ManagementHigher-level views for broader business analysis.
ReconciliationComparison across relevant business datasets and sources.

What changed

Nobody’s month starts with three days of assembly anymore.

Nothing about the business changed. The same people, looking at the same data, simply stopped rebuilding the answer every cycle.

Growing history made every run slower
Only new data is processed; history stays available
One weak component could stop reporting
Clustered gateways with fallback capacity
Manual copy-paste risked small, hard-to-catch errors
Numbers pull straight from ERPNext, with no manual re-entry
  • Managers see brand, product, channel and location performance without asking anyone to prepare it
  • Month-over-month and year-over-year comparisons that used to be rebuilt in Excel are now standing views
  • The reporting team spends its time on what the numbers mean, not on producing them
  • Reporting keeps working as the business grows, instead of getting slower

Does this sound familiar?

Most companies do not have a data problem. They have a distance problem.

Your month-end takes days

If closing the numbers is a project rather than a routine, the preparation is being done in the wrong place.

One person knows how the report works

When reporting logic lives in someone’s spreadsheet, it leaves when they do.

You ask for a number and wait

Waiting is the symptom. The cause is that every answer is rebuilt instead of maintained.

ERPNext already held everything the business needed to know. Invento built the reporting layer that puts it to work — the repetitive preparation now runs in a pipeline, and that time goes into analysis instead.

What would your team do if the numbers were just there?

Reporting that takes days is rarely a system problem. It is usually that every answer gets rebuilt from scratch instead of being maintained. Invento connects ERPNext to Power BI and builds the reporting layer around how your business actually reports.
